Internal Medicine Associates of Greenville is the largest multi-specialty private medical group in Greenville, South Carolina. With its staff of twenty-three doctors and one hundred twenty five employees, Internal Medicine Associates of Greenville offers a variety of health care services for the more than 12,000 patients it serves annually.

Introduction
Since it’s inception in 1996, Internal Medicine Associates of Greenville has used a paper-based punch card time and attendance system to manage its employees. The system has proved reliable, but however, only in recording employee time and attendance data. Aside from the collection of that information, the paper based time and attendance process has proved to be inefficient, laborious, and ineffective.

Inefficient Time
Manual calculation of timecards takes approximately 5 minutes per card per pay period. Furthermore, supervisors spent additional minutes addressing PTO requests and talking to employees about their current time and attendance information

Human Error
The error rate is typically about 2% per pay period including management miscalculations and tabulations.

Overpayment
The average weekly "theft" of time (long lunches and breaks, tardiness, early departures, etc.) has been 2 hours and 5 minutes per employee! Employees were adding overtime, fudging data, and checking in early. They were not going to lunch at correct times or taking a one hour required lunch.



Challenge
Io-exchange met with Internal Medicine Associates to design a computing application for their time and attendance needs. The system had to address the most pressing employee management issues: 1) inefficient time expenditure by management; 2) human error; and 3) employee overpayment. From the initial capture of the data to the final export of the data to the payroll, the application would have to provide Internal Medicine Associates of Greenville with a simple, efficient, and powerful employee management tool for managing their time and attendance information.

Development
Io-exchange sought to provide Internal Medicine Associates of Greenville with a comprehensive time and attendance solution that streamlined the entire process from data collection to payroll export. To do this Io-exchange looked to create a system fit for the demands of the practice. Io-exchange began the project with an extensive employee and administrator study Internal Medicine Associates of Greenville as well as several medical practices in the Greenville healthcare industry. Research teams conducted user observations and staff interviews to gain insights as to what technology and how technology might facilitate a more efficient time and attendance process both for the administrator and the employee. The overall aim was to provide Internal Medicine Associates with a complete central app lication that was easy to use, modular, integrated, and expandable.
